How to run a school athletics carnival that isn't chaos

A practical guide to planning a smooth school athletics carnival — timelines, tabloid events, staffing, and how to prepare students so every child competes.

Every school runs an athletics carnival. Very few enjoy organising one. Here's the playbook we use across our partner schools.

8 weeks out — prepare the students, not just the day

The biggest carnival problem isn't logistics; it's that half the students haven't practised a single event. A 6-week athletics unit beforehand (sprints, jumps, throws, relays) transforms the day: more entries, better technique, fewer injuries, and personal bests instead of embarrassment.

4 weeks out — design for the middle 60%

Championship events serve your athletes. Tabloid events — rotating novelty stations scored by house — serve everyone else. The best carnivals run both in parallel so no child spends the day sitting on a hill.

2 weeks out — staffing maths

Count your stations, double-marshal the track, and assign teachers to houses rather than events where possible — it keeps energy high and behaviour managed. This is where an external crew earns its keep: specialist staff on technical events (shot put, long jump measuring) free your teachers to supervise.

On the day — run the clock, not the program

Publish a timetable, rotate on a bell, and hold results until the end (announcing running totals deflates losing houses by recess).

After — use the data

Times and distances from carnival day are assessment evidence for your PDHPE program — record them.
